SUMMARY:

The Account Coordinator works with the account management team to support clients’ experiential marketing events to ensure successful execution. This includes supporting Account Directors and Account Managers with production and logistical planning of large multi-segment trade shows and smaller events, meetings, and activations. The position is responsible for administrative tasks related to calendaring activities, interfacing with clients and vendors, and arranging for logistical needs.

ROLES & RESPONSIBILITIES:
Account Management Support:

  • Work with the account management team with event production and coordinate logistics and deliverables of experiential events.
  • Maintain event schedules, project checklists, and processes through account management procedures and templates.
  • Track expenses and assist in the completion of event reconciliation.
  • Organize and maintain client binders, file correspondence, and other records.
  • Conduct vendor and services research and sourcing to provide feedback on relevant information to the account management team.
  • Prepare paperwork, schedules, calendars, etc., and order event services.
  • Assist with coordinating meetings and agendas, preparing facilities, and records/notetaking of meeting details.

Budgeting/Accounting:

  • Assist in following up with clients regarding signed contracts, invoices, and accounts receivable
  • Purchase materials and services on behalf of the clients and account management
  • Reconcile all purchases and expenses
  • May assist with event budget closeout and reconciliation

Administrative Support:

  • Makes copies of correspondence or other printed materials
  • May coordinate travel schedules and reservations

QUALIFICATIONS:

  • Bachelor of Arts or Sciences degree in Business Administration, Communication, Marketing, or related fields
  • Trade show, exhibit, and event management experience, a plus
  • Proficient in Microsoft Suite, Google Workspace, and QuickBooks

LOCATION:

Huntington Beach, CA

TRAVEL REQUIREMENTS:

May include travel to support onsite event execution and management, including event set-up and dismantling.
